Program Support Assistant

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-7. At the GS-6 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-7. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds. Works with clinics to ensure clinic can process eligibility through Remote Order Entry System (ROES) in order for Veteran to be eligible for requested items. Processes Government credit card orders for payment of charges made under the PAY.GOV program. Screens and categorizes all incoming order cards, e-mail requests, special letter requests, vendor mail and clinic requests to enhance prioritization and distribution of workload. Initiates records, maintains records, and disposes of records for veterans and medical facilities. Files and maintains completed action documents to include product order requests from Veterans and medical facilities. Performs varying duties which are not completely standardized or prescribed such as:
tracking spreadsheets for order card and phone call workload, credit card reconciliation, etc. Researching off contract device items, quality control evaluation for miss addressed orders, foreign medical problem resolution for overseas Veterans; and miscellaneous office procedures. Responsible for the accuracy and timeliness of orders received at the (DLC). Process routine orders within two days, priority and emergency orders the same day and evaluate orders from Veterans to determine the appropriateness of the priority. Applies product knowledge to customer requests to determine accurate order descriptions and quantities. Ensures that the Veteran has the appropriate eligibility to order items requested. Ensures order quantity requested does not exceed the device battery schedule for the supported device. Works with clinics to ensure clinic can process eligibility through (ROES) in order for Veteran to be eligible for requested items. Responsible for customer service on hearing aid related issues including (ROES) problem resolution for hearing aids and components on contract. Perform all duties as assigned. Work Schedule:

Possess at least one (1) year of specialized experience to perform the duties of this position. To be creditable, this experience must have been gained at least the equivalent of the next lower grade level of (GS-5) in Federal service. Specialized experience is possessing knowledge of the operations, materials, equipment and procedures necessary to maintain data and program information in computer files; utilizing Microsoft office software suites; working with clinics and patients to assist with patient database and eligibility; and manuals involving complex eligibility and entitlement criteria and disability codes. OR For GS-7:
Possess at least one (1) year of specialized experience to perform the duties of this position. To be creditable, this experience must have been gained to at least the equivalent of the next lower grade level of (GS-6) in Federal service. Specialized experience is possessing knowledge of the operations, materials, equipment and procedures necessary to maintain data and program information in computer files; utilizing Microsoft office software suites; working with clinics and patients to assist with patient database and eligibility; and manuals involving complex eligibility and entitlement criteria and disability codes; possessing knowledge of the basic aspects of supply management and inventory systems and procedures; and billing and credit policies and procedures; including billing reports and pricing; applying credit for goods or services not received or damaged. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
